AI for gym owners
AI gym management software, for the owner who has no analyst.
Most gym software stores your members and takes their money. Almost none of it reads the numbers every morning and tells your staff what to do about them. That is the job gymIQ does, on top of Glofox, ClubRight, Mindbody, PerfectGym, GymMaster and others, at an énergie Fitness club in Hertfordshire every day.
What AI should actually do in a gym
Not a chatbot bolted onto a dashboard. Eight jobs a good operations manager would do if you had one, done every day, with the workings shown.
Read the numbers every morning, so you do not have to
A written brief at 06:00: what came in, who joined and who left, the failure rate by payment method, the Friday forecast, and the three things that matter today. Reply to it in plain English and it answers from the same data.
See it workTell the front desk exactly who to call
A task board generated from the live roster before the club opens: the top overdue members to ring, billing faults to fix, memberships ending this week, drifting members to check in with, tours to confirm. Capped so a part time desk can finish it, assigned by name, ticked on a phone.
See it workCatch members who are drifting, against their own habit
A flat 30 day rule calls a twice a year member dormant and misses a daily member who has been away three weeks. gymIQ measures each member against their usual gap between visits and puts the right names on the board.
See it workHandle failed payments the way a careful person would
One retry for a temporary shortfall, never within two days of the last, never a sixth attempt on a card. Declined cards get a payment link, dead mandates get a human decision, cash payers are never messaged. At the Hertfordshire club this took the failed book from about 10% to 3.6%.
See it workAnswer every lead in seconds and book the trial
Website, trial form or abandoned join: the lead assistant replies within seconds, answers questions from the club’s own facts, checks real availability, confirms the slot, moves it when asked, and remembers everything agreed.
See it workAnswer members’ questions without a person
Hours, classes, prices, freezes, parking, PT. The member assistant answers from a fact sheet you control and hands cancellations, complaints and anything it is unsure about to a person, with the thread attached.
See it workFind the money already sitting in your membership file
Students past their birthday still on the under 19 rate. Standard rate members paying less than today’s joiner. Active members with no next payment scheduled. A free audit reads your export and lists them by name with a recommended action.
See it workTell you what Friday will pay before it lands
Whatever your processor’s schedule, gymIQ learns it from your statements, forecasts each credit with a range, and on Wednesday afternoon warns what has not been retried in time to make it. In testing now.
See it workIt is not another gym software. It reads the one you have.
Glofox, ClubRight, Mindbody, PerfectGym, GymMaster, Xplor, TeamUp: they are systems of record. They hold the members, the plans, the payments. What they do not do is read themselves each morning and tell a part time front desk which four members to ring before 10:30. gymIQ needs a read only login and produces the brief, the board, the retries and the alerts from what is already there. Nothing is migrated, nobody retrains.
Proof, not promises
- Failed book from about 10% to 3.6% at the Hertfordshire club.
- 47 students found on the under 19 rate in one export: £970 a month.
- A failing price test caught in five days by the sales pulse.
- Lowest attrition month on record in July.
Who it is for
Independent gyms
One club, an owner who also works the floor, a part time desk. The brief replaces the analyst you cannot afford and the board replaces the list you never get round to writing.
Franchise clubs
Built inside an énergie Fitness club. Works alongside the franchisor’s system and reporting; gymIQ reads, it does not replace.
Boutique studios and health clubs
Class heavy clubs get the same retention radar and lead assistant; multi site operators get one brief per club and one for the group.
Personal trainers with a membership book
If you bill monthly and have more than a few dozen clients, failed payments and drift are your problem too. Same tools, smaller list.
£295 a month per club.
No setup fee, cancel with a month’s notice, monthly business review included. If a month’s review cannot show at least the fee in found money, that month is free.
Questions gym owners ask about AI
- What is gymIQ?
- gymIQ is AI gym management software for gym owners. It sits on top of the gym software you already use, reads the membership and sales data every day, and tells you and your staff what to do: who to call, which payments to retry, who is drifting, what is mispriced and what Friday will pay. Built by a UK gym owner and running live at an énergie Fitness club in Hertfordshire.
- Does it replace my gym software?
- No. It reads your system and leaves it alone. Your team keeps working in it exactly as they do now; gymIQ tells them which member to open first.
- Which systems does it work with?
- Glofox, ClubRight, Mindbody, PerfectGym, GymMaster and others. If your software can produce a memberships report and a sales report, gymIQ can read it. The Hertfordshire club runs on Glofox, so that connection is the most worn in.
- Who is it for?
- Independent gym owners, franchise club operators, boutique studios, health clubs and personal training businesses with a membership book, in the UK first. If you have between 200 and 5,000 members and nobody whose job is to read the numbers every day, it is built for you.
- Does it contact my members?
- Not by default. The board tells your staff who to call and why. Automated retries of failed payments run inside your system’s own rules. Any messaging to members is switched on per club, by you, in writing.
- What does it cost?
- £295 a month per club, excluding VAT. No setup fee, cancel with a month’s notice, monthly business review included. If a month’s review cannot show at least the fee in found money, that month is free.
- What does it need from me?
- A login for the club, ideally a read only staff account created for gymIQ. And an hour on a call so the brief is written the way you think.
- What happens on the monthly review?
- Forty five minutes with us, on the phone or a call. What the system found, what your team acted on, what it was worth, and the one or two decisions for next month: a price, a plan, a supplier, a hire. You leave with a number for the month and a plan. As the product matures the review will become optional, but early clubs keep it at no extra cost.
- Will it work if my front desk is part time?
- That is who it is built for. The board is capped at a list a small desk can clear in an hour, and the evening report tells you who cleared what. If nothing gets ticked, you will know by 22:00, not at month end.
- Is the retention result real?
- July at the Hertfordshire club was the lowest attrition month on record. August was higher because the club now clears members who have stopped paying from the roster every month, on purpose, and those show up as leavers. Both months are on the case study page with the workings.
- Who is behind it?
- Paul Airey, who owns and runs an énergie Fitness club in Hertfordshire with 1,600 members. gymIQ was built to run that club first. You are talking to the person who uses it every day.
